How Apostille Certification Works with Oregon Apostille Hub

Apostille certification can look complicated when you read about it in general terms, but for the vast majority of our clients the process is straightforward – because we handle the parts that are complicated. Here’s what happens, step by step, when you work with us.

    • We identify the document together. When you reach out, we confirm which document you need apostilled and what country it’s headed to. The most common are birth certificates, marriage certificates, diplomas, adoption papers, powers of attorney, FBI background checks, and corporate records – but we apostille dozens of document types from every U.S. state.
    • We confirm the document is eligible. Not every document can be apostilled. Some need to be issued in a specific format, signed by a specific authority, or notarized before an apostille can be attached. We check eligibility before you spend money – if your document needs a different version, we tell you exactly what to request and where.
    • We make sure you have the right copy. Vital records (birth, death, marriage) usually need an original certified copy with a raised seal – not a photocopy. If you don’t have one, we’ll tell you how to order one from the issuing office, and in many cases we can order it for you. Some documents require the original; we’ll let you know up front.
    • We coordinate with the issuing authority. Whether the document came from a county clerk, a state vital records office, a federal agency, or a university registrar, we know how to confirm its authenticity and prepare it for the next step. You don’t need to call them yourself.
    • We complete all required forms. Each state’s Secretary of State office has its own submission form and fee structure. So does the U.S. Department of State for federal documents. We prepare every form accurately so your application isn’t rejected for missing information.
    • We handle the fees. Government fees vary by document type and state. Your quote from us includes everything – our service fee, the government’s apostille fee, return shipping, and any required notarization. The price you’re quoted is the price you pay.
    • We submit your request. Some apostilles are submitted by mail, others in person at the Secretary of State’s office. We use whichever method gets your document apostilled fastest – and for same-day service, we walk it through the Oregon Secretary of State office personally.
    • We track processing. Processing times depend on the issuing office and the service level you choose. Standard service takes 4–14 business days; rush is 1–3 business days; same-day is 24 hours for eligible documents. If anything delays processing, we’ll let you know – you don’t have to chase status updates.
    • We return your apostilled document securely. Once the apostille is attached, we ship your documents back via FedEx or DHL with tracking. You’ll receive the tracking number the day it ships. For high-value documents or international addresses, we offer signature-required and express delivery.
    • You use your document abroad. Your apostilled document is now recognized in every country that is a party to the Hague Apostille Convention – over 120 countries. Common uses include foreign visas, residency applications, international marriage, overseas adoption, business expansion, and estate matters.

Documents going to a country that isn’t a Hague Convention member need embassy legalization in addition to authentication. We handle that too – through our D.C. processing partners.

    Frequently Asked Questions

An apostille is a specialized certificate that verifies the authenticity and legality of a document for use in foreign countries. It is used to ensure that your U.S. documents, such as birth certificates, marriage certificates, academic transcripts, and more, are recognized and accepted in countries that are part of the Hague Apostille Convention. Without an apostille, your documents may not be legally recognized abroad.

Apostille services typically handle a wide range of documents, including birth certificates, marriage certificates, divorce decrees, diplomas, transcripts, power of attorney documents, and more. The specific documents that can be apostilled may vary depending on your state and the requirements of the receiving country. It’s essential to check with the apostille service and the authorities in your state for guidance.

The processing time for obtaining an apostille can vary depending on factors like the type of document, the state you are in, and the current workload of the relevant authorities. In some cases, it can take a few days, while in others, it may take a few weeks. Apostille services often offer expedited processing options for quicker turnaround times.

In many cases, you can use an apostille service by mail or submitting your documents easily on our website, eliminating the need for a personal visit to the apostille office. Oregon Apostille Hub can handle the entire process on your behalf, from document notarization to authentication and apostille issuance. This convenient option simplifies the process for individuals who are unable to visit the office in person.

No, an apostille is not the same as notarization or legalization. While notarization is the process of having a certified notary public verify the authenticity of a document, and legalization involves obtaining certification or authentication from various government authorities, an apostille is a specific type of certification recognized under the Hague Apostille Convention. It is a simplified and standardized process for international document verification, making it easier for documents to be accepted in countries that are part of the convention.
