Apostille certification can look complicated when you read about it in general terms, but for the vast majority of our clients the process is straightforward – because we handle the parts that are complicated. Here’s what happens, step by step, when you work with us.
- We identify the document together. When you reach out, we confirm which document you need apostilled and what country it’s headed to. The most common are birth certificates, marriage certificates, diplomas, adoption papers, powers of attorney, FBI background checks, and corporate records – but we apostille dozens of document types from every U.S. state.
- We confirm the document is eligible. Not every document can be apostilled. Some need to be issued in a specific format, signed by a specific authority, or notarized before an apostille can be attached. We check eligibility before you spend money – if your document needs a different version, we tell you exactly what to request and where.
- We make sure you have the right copy. Vital records (birth, death, marriage) usually need an original certified copy with a raised seal – not a photocopy. If you don’t have one, we’ll tell you how to order one from the issuing office, and in many cases we can order it for you. Some documents require the original; we’ll let you know up front.
- We coordinate with the issuing authority. Whether the document came from a county clerk, a state vital records office, a federal agency, or a university registrar, we know how to confirm its authenticity and prepare it for the next step. You don’t need to call them yourself.
- We complete all required forms. Each state’s Secretary of State office has its own submission form and fee structure. So does the U.S. Department of State for federal documents. We prepare every form accurately so your application isn’t rejected for missing information.
